CalKeep Privacy Policy

1. Introduction
CalKeep is a calendar synchronization, scheduling, and workspace productivity platform operated by LDR Coach LLC. This Privacy Policy explains how we collect, use, store, and protect information when you use CalKeep at calkeep.com and related services.
2. Information We Collect
We collect account and workspace information such as name, email address, workspace name, timezone, plan information, and role. When you sign in or connect an account through Google or Microsoft, we receive the profile data those providers return to us.
When you connect Google, Microsoft Outlook, iCloud, Yahoo, or other supported calendar accounts, we process calendar events, availability settings, booking pages, attendee details, event metadata, recurrence data, contact data, reminders, tasks, projects, processes, branding assets, and administrative audit events needed to provide the service.
3. How We Use Your Information
- Synchronize calendar events and contacts across connected providers.
- Operate booking, availability, reminder, task, and workspace features.
- Send transactional notifications such as confirmations and reminders.
- Detect conflicts, duplicates, sync issues, abuse, and service incidents.
- Secure the platform and provide support, billing, and plan management.
We do not use your data for advertising and we do not sell your information.
4. Hosting, Security, and Service Providers
CalKeep production is hosted on Microsoft Azure. We use managed services such as Azure Container Apps, Azure Database for PostgreSQL, Azure Cache for Redis, Azure Key Vault, Azure Communication Services, and Azure Application Insights. We use TLS for data in transit, encrypt sensitive credentials such as OAuth tokens at rest, and enforce workspace-level tenant isolation in application logic.
Depending on the features used, CalKeep may rely on Microsoft Azure, Google APIs, Microsoft Graph, CalDAV providers such as iCloud and Yahoo, Azure Communication Services, Twilio, Azure Application Insights, and optional AI model providers configured for a workspace.
5. Google API Services User Data Policy and Limited Use
CalKeep's use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. CalKeep uses Google Workspace API data only to provide or improve user-facing synchronization, scheduling, contact, task, reminder, and workspace productivity features that users request or enable. CalKeep does not use Google Workspace API data for advertising, does not sell Google Workspace API data, and does not use Google Workspace API data to train generalized AI or machine learning models.
6. SMS, AI, Sharing, and Retention
SMS reminders are optional and transactional only. Optional AI-assisted cleanup or analysis features may send the relevant workspace data needed for the request to the configured model provider. We share data only with service providers needed to operate CalKeep, with workspace members according to the permissions you choose, or when required by law.
We retain workspace data for as long as the workspace remains active, subject to legal, security, operational, and backup requirements. Users can disconnect linked accounts, export supported data, and request account or workspace erasure assistance.
